TEKMERIS Global Privacy Policy

1. Who TEKMERIS is

TEKMERIS Global is the trading name of Haikou Meixi International Trade Co., Ltd., an independent supply-chain verification firm and the data controller for personal information collected through this website. TEKMERIS does not manufacture, buy, sell, import, export or distribute biological products. For privacy enquiries, email compliance@tekmerisglobal.com or use the website contact form.

2. Information TEKMERIS collects

• Enquiry and application data: names, organisation details where relevant, contact details and information entered into enquiry, resource-request, partner, directory and affiliate forms. Submitted form data, an IP-address hash and email-delivery status are recorded.
• Partner applications: uploaded CVs and supporting documents, with upload and file metadata.
• Engagement information: supplier or facility details, manufacturer production-batch IDs, TEKMERIS engagement references, package assignments, logistics and documents supplied for the agreed work.
• Communications: emails and information entered into the site assistant, processed as described in section 4.
• Registry lookup and concern-report information: as described in section 13.

For a facility enquiry, please provide only the facility name and scope of your enquiry. Do not enter payment-card details into the site’s enquiry forms.

3. How TEKMERIS uses information

To respond to enquiries; to scope and deliver verification services; to send service communications; to send occasional relevant updates where permitted (you may opt out at any time); to improve the site; and to comply with law. For EEA/UK visitors, TEKMERIS's legal bases are: performance of a contract, legitimate interests (business development, security, quality), and consent where required.

4. AI chatbot

The site assistant holds recent conversation state in your browser while it is in use. Some answers come from TEKMERIS’s published FAQ. When a query is sent to the AI service, the query and recent conversation text are passed to Anthropic to generate a response. Information you include may therefore be transmitted to that provider. The website records hashed-IP and timestamp data for rate limiting separately from conversation text.

Do not submit sensitive or confidential information through chat. Responses are informational only. Anthropic’s processing and retention are separate from TEKMERIS’s own records.

5. Cookies & analytics

The website uses Cloudflare Web Analytics to measure website usage and performance. Cloudflare describes this service as using no cookies or browser local storage to collect analytics metrics.

Website security and delivery services also process requests to operate and protect the site. TEKMERIS does not use the analytics beacon for advertising profiles. If marketing cookies are introduced, TEKMERIS will update this notice and obtain consent where required.

6. Sharing & disclosure

Cloudflare hosts the website and provides storage for form submissions, uploaded application documents and registry information. Website forms are configured to pass notification and acknowledgement emails through Resend’s email service.

Google Workspace handles TEKMERIS’s business correspondence; Apple Mail is a desktop application used to access that mailbox. When the AI response path is used, Anthropic processes assistant queries and recent conversation text. TEKMERIS also shares information with professional advisers and authorities where legally required. TEKMERIS does not sell personal information.

If optional laboratory work is requested, the client chooses the laboratory or asks for recommendations, and the factory dispatches samples. TEKMERIS may coordinate instructions. Information shared depends on the agreed work and recipient; a laboratory report remains a separate document.

7. International transfers

TEKMERIS operates from the People’s Republic of China. Information may also be processed outside your country by the service providers described above. Processing locations and transfer protections depend on the relevant service and account arrangements. You may ask for details through the website contact form.

8. Retention

Engagement and chain-of-custody records are retained for five years from the end of the engagement, then securely deleted or de-identified, subject to applicable legal requirements and documented holds.

Lead and marketing information is retained until you ask TEKMERIS to stop, subject to applicable legal requirements. Chatbot conversation information is retained no longer than necessary for its purpose; provider processing and retention are separate from TEKMERIS’s own records. Registry retention is described in section 13.

9. Security

Encryption in transit (TLS), role-based access controls, least-privilege internal access, and reputable secure providers. TEKMERIS will notify affected individuals and regulators of any notifiable breach as required by law.

10. Your rights

Depending on your location (GDPR/UK GDPR, Australian Privacy Principles, and equivalent laws), you may request access, correction, deletion, restriction, portability, objection, and withdrawal of consent, and you may complain to a supervisory authority. Contact TEKMERIS through the website contact form; TEKMERIS responds within 30 days.

11. Children

The site is not directed to persons under 18; TEKMERIS does not knowingly collect their data.

12. Changes

Updates will be posted here with a revised version and date.

13. Seal and Facility Badge Verification Registry

TEKMERIS seals identify covered packaging through a package serial. Facility badge numbers identify authorised public records of named locations and dated visits. A lookup records the seal serial or badge reference, country-level location and a cryptographic hash derived from the request’s IP address. The registry event does not store the raw IP address. Hashing does not automatically make information anonymous.

Detailed seal-scan and badge-lookup history collected from the retention-policy effective time of 29 September 2026, 00:00 UTC is retained for up to 400 days to support verification enquiries, including those arising after long shipping periods.

Records collected before that date remain subject to the earlier 90-day retention period. The retention policy requires eligible expired detail to be deleted and reduced to a cumulative anonymous count without identifying dimensions. Registry disposal is handled through manual review; automated registry cleanup is not enabled. Deleted history cannot be restored by extending a retention period.

Scan history is separate from the underlying issued seal and production-batch evidence, laboratory reports and engagement records. The first-check timestamp and country are separate fields.

For a seal’s first check made from the retention-policy effective time stated above, the country is retained for up to 400 days from that first check; later scans do not restart that period. The original timestamp is preserved while needed for verification of the issued seal, with annual necessity review and review on retirement of the seal record.

Earlier first-check records are subject to a separate transition review; this revision does not silently re-date, delete or extend their previous commitments. Retaining the timestamp prevents a later visit from being recorded incorrectly as the first check.

A concern submitted through the registry form is passed to the configured email service for forwarding to TEKMERIS’s compliance mailbox, including any email address supplied by the reporter. The registry database stores metadata separately from the report content, including an IP hash and email-delivery status, for up to 400 days under the retention policy. Compliance mailbox copies are also subject to separate manual retention review and deletion.

TEKMERIS’s stated basis for lookup processing is legitimate interest in product integrity and anti-counterfeiting; for a reporter’s email address, it is consent.
